An ED application file has two main owners. You supply the personal and immigration evidence. The educational institution supplies the evidence it is authorised to issue about the course and institution. Put those responsibilities in writing before collecting documents, because “the school is handling it” can otherwise conceal several unfinished tasks.
The exact list depends on whether you are applying through an embassy, changing status in Thailand or extending an existing education stay. I would write the procedure and handling authority on the folder before adding the first page. That stops an embassy upload checklist being mixed with a local immigration application.
Our Chiang Mai education visa service can be discussed using your current category, stay-expiry date and intended course. Below is a practical division of the file, including concrete official examples and the questions that remain specific to your procedure.
The personal file you should control
Begin with the passport identity page and current immigration record. For an in-country procedure, that means the visa or e-Visa relevant to your entry, latest arrival stamp and any later extension. If you changed passports, keep the old passport and transfer evidence accessible until the required continuity is clear.
Prepare the photograph requested by the authority. Follow its dimensions and recency instructions; a cropped social-media photograph may be unsuitable even if it looks recognisable. Check that any digital copy remains clear after resizing and that the face or document edges have not been cut off.
You also control information about where you are applying, your residence and your finances. Which evidence is required varies by route. For an overseas application, the responsible mission may ask for proof of current location and financial support. An in-country application concerns your Thai immigration and residence records. Those are different questions, so use the correct checklist.
| Item | Main owner | Review before submission |
|---|---|---|
| Passport and current permission | Applicant | Correct number, current record and readable copies |
| Photograph | Applicant | Required size, recency and usable quality |
| Application form | Applicant, with any agreed assistance | Correct form for the procedure and accurate answers |
| Enrollment letter | School | Course, student details, dates and authorised signature |
| Institutional or authority evidence | School or issuing authority | Correct institution, certification and destination |
| Financial or location evidence | Applicant | Matches the handling authority’s instructions |
| Residence notification evidence where required | Applicant with accommodation support as relevant | Current address and accepted record |
What an embassy language-course checklist can include
The Royal Thai Embassy London’s education page lists a passport biodata page, a recent photograph, evidence of current location, financial evidence, a relevant education-authority letter and a signed school enrollment letter with the signer’s identity evidence for its language-course section. That is a specific mission’s example, not a universal checklist for every applicant.
Its separate education categories matter. A university letter is not interchangeable with a language-school document, and a school-level application may require different supporting evidence. Identify the category that actually describes the course before requesting the institution’s file.
Read the responsible mission’s complete current instructions, including jurisdiction and upload requirements. Tell the school where you are applying. A letter can be accurate in content and still require reissuing if it is addressed to the wrong authority or prepared for a different procedure.
What changes for an in-country ED application
Immigration’s published education application sheet distinguishes TM.86 for tourist or transit visa holders from TM.87 for the listed visa-exempt admission categories. It says more than 15 days of permitted stay must remain and that an applicant on overstay cannot use that procedure. That minimum is not a safe starting point for requesting school paperwork.
A government student status-change guide, carrying older published guidance from Immigration Bureau, identifies passport evidence, a 4 by 6 centimetre photograph, in-person attendance, applicant certification of copies, institutional certification and residence-notification evidence. It states a 2,000 baht application fee for that procedure. Confirm current implementation with the handling office before filing.
The same government explanation describes additional institutional evidence for its specified educational circumstances, including establishment and administrator licensing in the case of a private institution. Your school should identify the documents applicable to its course. Do not assemble a selection of unrelated school certificates because they appear somewhere on an online list.
What the school should issue and explain
Ask the school for a document list using the authority’s terminology. “Visa letter” might mean enrollment confirmation, a request addressed to immigration or a letter supporting a separate approval. Each should have its own row on the tracking sheet.
For every school-controlled item, record who issues it, whose signature is needed and whether another authority must act first. If enrollment payment is a dependency, obtain the written terms before paying. A promise that paperwork takes a certain period should identify when that period starts and what information you must provide first.

The institution should correct its own errors. If your name, course title or passport number is wrong, request a replacement. Editing the school’s PDF yourself can turn a simple administrative correction into a question about authenticity. Keep the superseded copy out of the final submission folder.
Use a tracker that shows dependencies
Create columns for item, owner, requested date, expected date, received date and checked status. Add an unresolved-question column for anything awaiting confirmation. This lets you distinguish a late document from a received document that still needs correction.
For example, an enrollment letter may depend on a completed registration form. An authority document may depend on that enrollment letter. If you list only the final document, you can miss the earlier action that is stopping progress. Ask the school to explain the sequence so each owner knows when their part must happen.
Keep the tracker short enough to use. It should describe the requested file, not every possible document ever used by another student. Our application-route guide helps identify which procedure belongs at the top of it.
Check the whole file for consistency
Read the passport identity page beside the application and school letter. Compare the name, passport number and date of birth. Then compare the course title, institution, start date and study period. Each document can look plausible alone while the set describes inconsistent facts.
Look at dates and signatures after content. A correct name does not repair a missing authorised signature. A complete signature does not repair a letter that refers to a course you are not joining. Where the authority asks for certification of copies or institutional stamps, follow that instruction for the relevant pages.
If a passport is expiring or being renewed, discuss the timing before final letters are issued. Otherwise several documents may need replacement. Tell the institution about the new number promptly and keep the link between the old immigration record and current passport clear.
Originals, copies and digital uploads
Keep originals accessible whenever the procedure may require inspection. Sending a scan to a coordinator or uploading it to a platform does not establish that an original will never be needed. Ask which originals you must bring and which certified copies form part of the submission.
For digital files, open each item at ordinary reading size. Check that the date, signature, stamp and document edges are visible. Avoid filters that alter the record. Use the authority’s specified format and size while preserving readability.
Use filenames that distinguish the item and date. Keep “current submission” separate from “previous versions”. If an issuer corrects a letter, replace the submission copy and note that the earlier version is superseded. This simple practice reduces the chance of accidentally sending the first, incorrect attachment.
A hypothetical student file with two preventable problems
Imagine a visitor whose school prepares an enrollment letter using the passport number typed on an old enquiry form. The applicant has since renewed the passport. At the same time, the school assumes the application will be made abroad, while the applicant expects an in-country change.
A shared checklist would expose both issues. The current passport copy would settle the number before the letter was signed. The named procedure and handling authority would reveal that the document package had been prepared for the wrong route. The correction is more manageable before an application is submitted or travel is booked.
The lesson is specific: give the institution current identity evidence and explicitly confirm the route. Telling a school only that you “need ED paperwork” leaves too much room for incompatible assumptions.
If a document will not arrive in time
Tell the coordinator and handling authority what is missing and the expected issue date. Ask how that affects the procedure and current permission. Do not assume an incomplete submission reserves a place or stops a deadline. A receipt for tuition does not extend permission to stay.
Avoid concealing a late document behind a tracker marked “in progress”. Name the exact dependency and the person responsible. If the plan no longer fits the confirmed filing conditions, the next discussion must concern a lawful revised sequence, not an assurance that it will probably work out.
Our education extension guide is useful when the file concerns continuation of an existing stay. A school transfer needs additional coordination with the current institution and should not be treated as an ordinary continuation.
Questions about responsibility
Does an agent obtain every document for me?
Only the written service scope can establish that. Some records must come from you, the school or another issuer. Ask who requests, collects, checks and submits each item, especially if personal attendance or an original is required.
Should I send every personal document immediately?
Begin with what is relevant to assessment and use the provider’s requested contact method. Ask for the procedure-specific checklist before circulating unnecessary sensitive records. Keep your own copy of anything submitted.
What should I do next?
Contact Visa Support Thailand with your present category, stay-expiry date, course and any school document list already supplied. Ask for a division of responsibilities and the missing-item list. You should leave that discussion knowing which document you must obtain next and which institution-controlled item is still pending.
