Employer Documents for a Thai Work Visa: Coordinating HR and the Applicant

Employment applications involve information held by both the applicant and employer. Assigning responsibility early helps prevent a complete personal file from being delayed by an unfinished employer document.

Confirm the employment route first

Identify the responsible embassy and work-authorisation procedure. A standard employment route, a teaching role and a BOI-related route may call for different evidence. Do not ask HR to prepare a generic “visa letter” without explaining which application it supports.

Create two document lists

Applicant items

Prepare the identity, photograph, residence and other personal evidence requested. Tell HR if your passport, name or current immigration status changes during preparation.

Employer items

Ask HR which letters, approvals and organisational records the applicable checklist requires. London’s employment checklist, for example, identifies labour-approval or existing work-permit evidence for its stated circumstances. Confirm the precise requirement for your own application.

Use a named document contact

Record the person responsible for each employer item and its expected issue date. Check that the job title, employer name, proposed duties and dates agree across the documents. Ask the issuer to correct any discrepancy.

Review the complete file together

  • One consistent identity and passport record.
  • The actual employer and role.
  • The correct application purpose.
  • All required approvals and signatures.
  • A timetable that allows for document production and authority review.

If the proposed start date changes, update the organisations handling the application. Do not silently leave conflicting dates across different letters.

Frequently asked questions

Can the employee prepare every employer document?

Some evidence must come from the employer or relevant authority. Agree who can properly issue each item.

Does a complete checklist guarantee a decision date?

No. Keep the employer informed while the authority reviews the application and any further-document request.
